Job Description and Qualifications

REPORTS TO: Executive Director

EMPLOYMENT TYPE: Non-exempt position, 20 hours per week.

SCHEDULE: Monday-Friday, may include some limited travel or occasional weekend or evening hours.

WORK LOCATION: Seattle Area, with opportunity to work remotely. 

SALARY RANGE: $18.00 – $22.00 Hourly

ORGANIZATION SUMMARY: Washington Student Cycling League is a youth empowerment program through mountain biking. Our mission is to promote youth development, confidence, leadership, health and public stewardship through cycling and outdoor activity and to create a lifelong passion for cycling.  Our vision is to be the leading youth cycling program, building confident and healthy youth through a supportive community. 

POSITION SUMMARY: The Administrative Assistant will be responsible for supporting all aspects of the nonprofit organization operations in accordance with the guidelines and policies of the organization. The position requires the ability to balance multiple tasks, maintain accurate records, retrieve information quickly, and maintain a pleasant manner with the public and work effectively with staff, volunteers, and vendors. A critical component is a strong command of verbal and written skills. The Administrative Assistant must possess a positive attitude toward the organization and perform all duties with discretion, confidentiality, and tact.

Specific duties include but are not limited to:

Administrative Support

  • Perform basic bookkeeping tasks including bill paying, check cutting, making deposits, and invoicing. 
  • First point of contact with the public, processing daily email.
  • Maintain organizational files and documents.
  • Manage donor database and prepare tax-deductible letters to donors.
  • Perform general administrative support.

Program Support

  • Process program registration on a daily basis.
  • Process and maintain coach licensing documents.
  • Assist with venue permitting.
  • Assist with ordering equipment, supplies, and services according to budget.

Communications

  • Assist with electronic newsletters.
  • Coordinate social media posts.
  • Assist with donor communications, including appeal and thank you letters.
  • Assist with creating marketing collateral.

QUALIFICATIONS:

  • Minimum two years related experience; nonprofit experience a plus.
  • Proficiency with spreadsheets, databases, and word processing. Familiarity with Quickbooks a plus.
  • Ability to multitask and prioritize in a dynamic work environment.
  • Strong attention to detail and ability to work as a team member with minimal supervision.
  • Solid written and oral communication skills.
  • Ability to develop effective work plans, organize details, set priorities, and meet deadlines.
  • Background check clearance.
  • Interest in and commitment to the WSCL mission.
